• your child’s photographs

• Gallery interactions on Shoot proof (our third party online gallery provider)

• Payment details including the last 4 digits of your card number used to purchase our products, the expiary date on the card, the type of card used and the card issuer.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• To give consent for your child to be photographed

• To fulfil orders and process your payments

• To contact you regarding your order or to answer any enquiries about our services

Please note, your childs images are used purely for the purpose of the parent/ legal guardian purchasing the images unless the parent/ legal guardian has given explicit consent for another purpose

We also receive personal information indirectly, from the following sources in the following scenarios:

We collect information from our third party providers strictly to help us fulfil our service and complete your order.

• We collect your email address and gallery activity when you log into your online gallery through Shoot Proof (our online gallery provider.) We collect this data in order to send reminder notices to you about gallery closing dates and to assist in the sales process.

• We collect your name, address, contact number and email address through Shoot Proof when you place an order. We only use this information to fulfil your order and to get in touch with you regarding your order.

• We collect your name, email, address and your payment details including the last 4 digits of your card number used to purchase our products, the expiary date on the card, the type of card used and the card issuer. These details are collected by our online payment processing service Stripe. This information is collected in order to process payments. DS Colours Labs

DS Colour Labs is one of our print processing services. We share your childs images with this provider when you order prints in order to fulfil your orders. Unfortunately we do not have our own printing services so it is necessary for us to use an external provider. Max Spielmann

Max Spielmann are one of our trusted printing suppliers. We use Max Spielmann to print your order cards after the photo shoot. Order cards are what we use to give you your child’s gallery access information to view your images. They contain a photo of your child and instructions on how to view your images including your gallery link and password. This information will therefore be shared with this provider. Shoot Proof

Shoot Proof is our gallery hosting provider. We share your Childs images with Shoot proof in order to create our private gallery where you can view and order your childs photos. Adobe

Adobe is the provider we use for our photo editing software. We use Adobe Lightroom and Photoshop to edit your childs images before and after purchase. If you would like to view Adobe’s privacy policy this can be found at https://www.adobe.com/uk/privacy/policy.html​

Your Nursery 

Physical order forms and prints are shared with your nursery to be handed out to you. There may also be some situations where it is necessary for us to share digital versions of these items with your Nursery via email. This could be either to varify the identity of a Child or to distribute order forms or images to you in a more time effective maner.  If you would like to see your Nurseries privacy policy please get in touch with your Nursery directly to find out how to do this.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

• We have a contractual obligation

• We have a legitimate interest

• You give us explicit consent to do so. For example, by completing a consent form to give your consent for your child to be photographed.

How we store your personal information

​

• Your information is securely stored.

• All photos are sorted on encrypted external hard drives which are locked away when not in use.

• Where your personal information is shared with third party providers who require us to hold an account with them, secure passwords are used to protect your information.

• All paper consent forms are stored in a locked filing cabinet

• Your information is held by Evie Townsend Photography for 6 months to allow for the fulfilment of late orders or to allow for returns or exchanges. After this your data will be securely destroyed. Please note this does not include how third parties store your data. Please refer to our third party providers privacy policies for information on how your information is stored and how long for. Your data protection rights

Under data protection law, you have rights including:

• Your right of access - You have the right to ask us for copies of your personal information.

• Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

• Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

• Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

• Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

 

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
